Submission of Forms:

 

Forms and required attachments should be sent to the following individuals as indicated for your province. Materials should be submitted via fax or email wherever possible. If you do not have access to either, please contact the individual listed to confirm the mailing address.

Review Process:

 

ê     Guiders will submit their forms to the support person listed above for their home province 30 days in advance for PEI, NS, NB and 21 days in advance for NL Guiders.

ê     The support person will then review each submission to determine the following:

o       WA.1 form is completed in full and includes the specific type of boating to take place (canoeing, kayaking, etc.)

o       Required attachments are included:

§         OA.5 (Emergency Response Plan)

§         C2 or C7 (Activity Authorization form that was submitted to the Commissioner)

§         Photocopies of qualifications or documented training, experience and reference letters for activity facilitators and aquatic personnel.

ê     If documents are missing, the support person will contact the Responsible Guider to obtain the missing documents.

ê     Support Person for each province will enter the request into the Water Activity tracking database (provided by PDS).

ê     The support person for PEI, NS, and NB will then send all requests to the WAA at least 21 days before the scheduled activities (via email, fax or mail).

ê     The WAA will contact the Responsible Guider to seek clarification whenever required.

ê     If WAA has questions regarding the activity, location, Guider, etc., WAA will contact the following individuals:

ê     WAA will create a file for each request and track all conversations on the File Record (provided by PDS).

ê     Upon completion of her review, WAA will approve or decline the request (on the WA.1 form). She will fax or scan/email this form to the Responsible Guider. If the Responsible Guider does not have a fax machine or cannot be reached, the WAA will contact the appropriate provincial office for support

ê     WAA will send an email to inform the following of the approval or decline:

o       Support person in home province where request was generated from

o       PCD or Camping Committee as listed above for home province

o       Responsible Guider

ê     Support Person will enter approvals and declines in the database excel file provided by PDS.

 

 

 

 

Support from Newfoundland and Labrador Council and Provincial Camping Committee:

Ÿ         The Water Activity Adviser will be a voting member of the Provincial Camping Committee and will participate in all strategic and operational planning meetings and teleconferences.

Ÿ         The Water Activity Adviser will report directly to the Provincial Camp Director or her Deputy.

Ÿ         A budget account will be established for the purposes of tracking the cost of this process. Costs expected to be incurred and paid for will be paper, fax toner(s), printer cartridge(s), postage and phone call charges. Further cost items will be addressed as they arise.

Ÿ         At an appropriate time as determined by the Executive Director, Newfoundland and Labrador, charges incurred (e.g. long distance, fax, mailing, etc.) on behalf of a partner Province will be billed to the partner Provincial Office.

 

 

This Protocol does not preclude a partner Province to continue recruitment for a Water Activity Adviser(s) for their jurisdiction.  Should such occur, this Agreement will cease to be in effect between the partner Province and the Newfoundland and Labrador Council.
