Registering Girls in iMIS (Form A.5)
A NEW PROCESS!
Because it is new, we want to do it in Newfoundland and Labrador! Several Provinces have already begun inputting girl information into iMIS with a great deal of success and benefits. We have a great database system (called iMIS) for managing information about our adult members and now we are going to include girls in it too! This will improve the Guiding Experience for all our members.
HOW WILL THE INFORMATION GET INTO iMIS?
As Contact Guider, make certain you receive the Girl Registration Form, A.5 on each Spark, Brownie, Guide, or Pathfinder in your Unit. Check and make sure the reverse side has been signed, as well. Then transfer the necessary information to the section at the bottom of the front page, detach, and forward it to the Provincial Office, Building 566, Pleasantville, St. John's, NL, A1A 1S3, fax number, 709-726-4045. With the exception of St. John's Area, Staff of the Provincial Office will complete the data entry for your Unit. You may batch the forms for your Unit, but if some girls are delayed in bringing back their signed A.5, please do not wait a long time and send along those that you have.
Our target is to have this data entry completed for the whole of Newfoundland and Labrador by the end of May 2005.

WHAT ARE THE BENEFITS OF REGISTERING GIRLS IN iMIS?
The A.5 form ensures that Guiding collects only the information needed for communication, membership, insurance, and safety purposes. It also ensures that parents/guardians are better informed about their roles and responsibilities. Once your girls are registered in iMIS:
- Census will be taken from the registration forms - no more head counts - iMIS will do it!
- News about special nationally sponsored events will be sent directly to eligible girls - less paperwork!
- A National data bank that lists all our members (both adults and youth).
- Girls would have access to electronic programming opportunities on a secured site (example - virtual meetings, interactive communication with other Units across Canada).
- Availability of a girl's record if she moves anywhere in Canada, and
- Next year, girls returning to Guiding will receive a personalized renewal form to be updated and signed by parent/guardian.
